Administrative Assistant

For our client in the telecommunications industry we are looking for an Administrative Assistant.

Role Overview

Join our team as an Administrative Support and Office Manager, playing a crucial role in assisting the Senior Director. This position involves managing office operations in Frankfurt and providing administrative support to the broader EMEA sales team. As a key member of the EMEA PA team, you’ll contribute to the seamless functioning of our global operations.

This is full-time position based in Frankfurt, Germany for a period of 1 year, hybrid (2/3) in Frankfurt.

Responsibilities

  • Report to and support the Senior Director – Sales, remotely located
  • Coordinate extensive itineraries, manage travel arrangements, and handle logistics, including visa applications.
  • Conduct diary management, schedule meetings, and coordinate conference calls across different time zones.
  • Organize internal and external meetings, including preparation of briefing packages, agenda creation, and logistics arrangements.
  • Foster business relationships with customer administrative assistants.
  • Process expense reports and handle sales region support, maintaining customer databases and submitting weekly reports.
  • Manage incoming/outgoing mail, arrange courier services, and ensure efficient office operations.

Experience & Skills

  • Fluent in English and German.
  • Minimum of 2-3 years’ experience as an Assistant in an international work environment.
  • Advanced proficiency in Outlook, with experience managing multiple calendars.
  • Strong PC skills (Word, PowerPoint, Excel).
  • Excellent verbal and written communication skills.
  • Ability to thrive in an international and multicultural environment.
  • Proficient in handling confidential documents and conversations professionally.
  • Outstanding organizational and detail-oriented capabilities.
  • Effective prioritization, adaptability, and the ability to work independently.
  • Proactive, accountable, flexible, and time-urgent.
  • Responsive and assertive with a representative demeanor.
  • Comfortable asking questions and willing to take the initiative.
